Maya Vision Lab is a d/b/a of Basha Holdings LLC, a North Carolina limited liability company ("we", "us"). This policy covers this website (mayavisionlab.com), the customer portal (app.mayavisionlab.com), and how Maya handles what it records at a business that uses it. For a business that uses Maya, its signed service agreement governs; the second half of this page summarizes it.
On this website and the customer portal
What we collect
- What you send us: the details you enter in the demo request form or an email to us, such as your name, business, register system, email, phone, location and message.
- Your portal account: your email address, the one-time sign-in codes we email you, and the business details you give when you sign up (business name, type, address, phone, number of locations and register system).
- Billing: payments are handled by Stripe. We never see or store full card numbers; Stripe tells us only whether a subscription is active.
- Basic visit records: the services that host the website and the portal (Netlify, Cloudflare and Supabase) keep standard server logs, such as IP address, browser type and pages visited, to run and secure them. The portal's sign-in uses Cloudflare Turnstile to block automated sign-ups.
We use no advertising, no analytics trackers and no tracking cookies. The portal keeps only what it needs in your browser to keep you signed in.
How we use and share it
- To reply to you, arrange a demo, run your account and billing, and keep a record of our conversation.
- To run and secure the website and the portal.
We do not sell your information. We share it only with the services that run the website, the portal, billing and our email (Netlify, Cloudflare, Supabase, Stripe and our email provider), or when the law requires it.
How long we keep it
Inquiry details are kept as long as they are useful for our business relationship. Account and billing records are kept while you are a customer and as long as tax and accounting rules require afterwards. Email hello@mayavisionlab.com to ask us to delete yours.
At a business that uses Maya
What Maya records
- Video and sound. Maya's cameras record video and sound at the business. No camera is ever placed in a restroom, office, break room or other private area.
- Notice first. Before any sound is recorded, the business posts signs at its entrances and its bar or counter saying that audio and video are recorded, and every employee signs a notice.
- Register data. Maya reads the business's register system, read-only: sales, items, voids, comps, discounts, refunds, payment types and amounts, drawer events, clock-ins, and employee names as the register lists them. It does not need or keep full payment card numbers.
Where it is kept, and for how long
- Recordings are made and kept on equipment at the business.
- The full recording is kept for about 3 days, then overwritten.
- A clip of a flagged transaction is kept for 30 days.
- Clips selected for training are kept by Maya Vision Lab, as described below.
- Sound is kept exactly as long as the video it belongs to.
Who can see it
- The business owner can always see everything.
- Managers the owner adds can watch, review, mark and export. They cannot delete anything, change what Maya flags or shows, or add people, so nothing can be hidden from the owner. Every answer keeps who made it and when.
- Maya Vision Lab sees it only to set up and support Maya, and to train and improve it.
- No one else. We give a recording to anyone outside the business, including the police, only with the business's written permission, or when a subpoena or court order requires it.
If you are a guest or an employee and want a recording of yourself, ask the business. We will provide one only with its written permission.
Training Maya
- Selected clips, with their sound, still images, register lines and the owner's answers are kept by Maya Vision Lab to train and improve Maya, as the service agreement provides.
- Recordings with sound are used only by Maya Vision Lab and are never shared or sold.
- Anything we ever offer outside Maya Vision Lab is video only, with faces blurred, and never identifies the business, its employees or its guests.
A flag is not a finding
Maya points to moments worth a look. A flagged transaction is something for the owner to review, never proof that anyone did anything wrong. The business decides what it means and remains responsible for how it uses what Maya shows.
When a business stops using Maya
- Equipment we provided comes back to us, and its recordings are erased within 30 days of its return.
- Equipment the business bought: we switch Maya off and remove our access. The recordings left on its own equipment are the business's.
- Training clips already kept by Maya Vision Lab stay with us, as the service agreement provides.
- Before it leaves, a business may ask for a copy of its flagged clips and answers.
Children
This website and the portal are for businesses and are not directed to children.
